Every family enquiry answered. Every tour booked.
MoveIn Loop answers every enquiry your community gets, day and night, in a warm and unhurried way. We book the tour, keep each family in the loop, and gently reconnect with families who enquired months ago. Done for you, alongside your sales team.
Built for independent private-pay assisted living and memory care operators with 1 to 10 communities.
Families reach out at the hardest moment. Many wait hours to hear back.
A fall, a hospital discharge, a worried phone call from a parent. Families often start looking at night or on a weekend, and they usually contact more than one community. The first to call back kindly and offer a visit is often the one they tour.

Every enquiry answered, around the clock
Web forms, calls, chats and referral-service leads get a reply in about a minute. Your team answers by day; after hours or when everyone is busy, a calm AI assistant picks up, says it's an AI, asks a few gentle questions (who it's for, what help they need, timing, location) and books an in-person or video tour. Anyone who is upset, in a hurry or facing a hospital discharge is put through to a person right away.
Tours that turn into move-ins
Reminders before the visit, a kind note the same day after it, and patient follow-up over the weeks that follow. Every family member stays in the loop.
Reconnecting with past enquiries

Hear it in action
A short recorded demo of the AI assistant answering a family's after-hours enquiry: introducing itself as an AI, asking a few gentle questions and offering a tour.
Demo recording coming soonThe Enquiry Audit: see what families experience.
With your written permission, we mystery-shop your own communities the way a family would: a web form in the afternoon, a call on a Sunday evening, a chat after dinner. Then we show you, plainly, what happened.
You choose the communities, channels and dates, and whether your staff are told in advance. Nobody's time is wasted: if a tour is offered, we decline or cancel it the same day.
You keep the scorecard, the call recordings and a 30-day plan with the three fixes that matter most.
- SpeedTime to first reply for web forms, calls, chat and referral-service leads, daytime, evening and weekend.
- Warmth and qualityWho answered, whether they asked about the family's situation, and whether a tour was offered.
- After hoursWhat really happens at 9 pm and on a Sunday: a person, an answering service, voicemail or nothing.
- Follow-upEvery call, text and email in the two weeks after each test enquiry, and when it stopped.
- Past enquiriesA count of older enquiries that never toured, and how many have consent on record to be contacted. We contact no one during the audit.
- Forms and consentWhether your forms capture call and text consent properly. We flag gaps; we don't give legal advice.
Audit, build, run.
No new software for your team to learn. We fit around your calendar, your CRM and your way of speaking with families.
Audit
We mystery-shop your communities with your permission, look at response times and past enquiries, and walk you and your sales director through what we found.
Build
We write the scripts with you in your community's voice, connect your tour calendars and CRM, set up consent capture, and agree who takes urgent calls, day and night.
Run
We answer, book and follow up every day, review conversations every week, adjust what isn't working, and report enquiries, tours and move-ins each month.
Fast, and always gentle.
The people calling you are often worried adult children, and sometimes older adults themselves. Everything we build starts from that.
Frequently asked questions
Will it sound robotic?
We tune the voice to be warm, calm and a little slower than normal, with plenty of room for people to talk. It uses plain words ("help with bathing", not "ADLs"). It's still an AI, and it says so, and anyone who'd rather speak with a person can ask at any time.
Does it replace my sales director?
No. It makes sure no family waits while your sales director is on a tour, at home or asleep. Your sales director still leads every visit and every relationship, and starts each tour with notes on what the family shared.
What about our CRM?
We work with the CRM you already have, such as WelcomeHome, Aline, Sherpa or Yardi, rather than replacing it. Enquiries, notes, tours and outcomes go into your system so your team has one place to look.
Is this only for communities that aren't full?
It helps most where there are open apartments, a lease-up or a new memory care wing. Full communities can still use it to keep a healthy waiting list and rely less on paid referral services. If you're full and happy, we'll tell you honestly that you may not need us.
What happens with urgent or emotional calls?
They go to a person. Hospital discharges, upset or confused callers, and anyone who asks are transferred to your on-call team straight away. If someone is in danger, the assistant tells them to call 911.
Will you call families who never contacted us?
No. We only contact people who enquired with your community and agreed to be contacted. We don't buy lists, and we leave out referral-service leads unless their consent covers it.
Do you give care or pricing advice?
No. We're not a care provider. The assistant doesn't assess care needs or give medical advice, and only shares pricing in the way you tell it to.
How do we start?
With the Enquiry Audit. You see exactly what families experience today, and you decide from there. Apply below; it takes about a minute.
A few founding spots, with more of our time.
We're working closely with a small first group of communities. Spots are limited to a few, so we can give each one real attention.
What founding communities get
- The Enquiry Audit first, before anyone else
- Personal, hands-on setup of scripts, calendars and CRM with your team
- Closer weekly tuning in the early months
What we ask in return
- Share honest before-and-after numbers: enquiries, response times, tours and move-ins
- Only if the results earn it, a short written case study
- Candid feedback on what works and what doesn't
Nothing is shared without your approval, and no resident or family details are ever included. To be considered, apply for an Enquiry Audit below.
